Overview

Scheduled Reports allow you to automatically generate and receive analytics reports on a regular basis. Set up once and receive comprehensive insights via email weekly, monthly, or on-demand.

Getting Started

Accessing Reports Manager

  1. Navigate to Reports in the main menu
  2. View your existing reports or create a new one
  3. Click Create Report to begin

Creating a New Report

Step 1: Report Configuration

Report Name

Choose a descriptive name that indicates the report's purpose:

  • ✅ "Monthly Executive Summary"
  • ✅ "LinkedIn Performance - Weekly"
  • ✅ "Client Report - Q4 2024"
  • ❌ "Report 1"

Report Type

Select the focus of your report:

  • Performance Overview: Comprehensive metrics across all platforms
  • Growth & Audience: Follower trends and audience insights
  • Content Engagement: Detailed engagement breakdowns by content type

Step 2: Data Selection

Date Range

Configure what time period the report covers:

  • Last 7 Days: Weekly updates
  • Last 30 Days: Monthly reports
  • Last 90 Days: Quarterly summaries
  • Custom Range: Specific date span for special reports

Dynamic vs. Fixed:

  • Dynamic ranges (e.g., "Last 30 Days") update automatically with each generation
  • Fixed ranges (e.g., "January 1-31, 2024") remain static

Platform Selection

Choose which platforms to include:

  • Select all for comprehensive view
  • Select specific platforms for targeted analysis
  • Mix and match based on client needs

Social Accounts (Optional)

  • If empty: includes all connected accounts
  • Specify accounts for client-specific or team-specific reports

Step 3: Metrics Configuration

Select which metrics to include in the report:

  • Follower Count: Total and change
  • Impressions: Content views
  • Reach: Unique viewers
  • Engagement: Likes, comments, shares
  • Engagement Rate: Percentage metric
  • Link Clicks: Traffic generation
  • Platform-Specific: Story views, watch time, etc.

Tip: Include fewer metrics for executive summaries, more for detailed analysis.

Step 4: Schedule Setup

Frequency Options

  • Manual Only: Generate on-demand only (no automatic generation)
  • Weekly: Every Monday at 8 AM (your timezone)
  • Monthly: First day of month at 8 AM
  • Custom: Advanced scheduling (coming soon)

Email Recipients

Add email addresses to receive the report:

  • Separate multiple addresses with commas
  • Include internal team members and/or clients
  • Recipients receive a link to download the report

Security Note: Report links expire after 7 days for security.

Step 5: Format Selection

Choose output format (can select multiple):

  • PDF: Professional presentation format

    • Includes charts and visualizations
    • Best for client reports and presentations
    • 5-15 pages typical
  • CSV: Spreadsheet format

    • Raw data for analysis
    • Import into Excel, Google Sheets
    • Multiple sheets for different metric types
  • XLSX: Excel format

    • Formatted sheets with formulas
    • Charts embedded
    • Best for data analysis

Managing Existing Reports

Report List View

See all your saved reports with:

  • Report name and type
  • Schedule frequency
  • Last generation date
  • Quick actions (generate, edit, delete)

Actions

Generate Now

Click the download icon to:

  • Generate report immediately with current data
  • Download automatically when ready
  • Bypasses schedule (useful for ad-hoc client requests)

Edit Report

Click the edit icon to:

  • Update any configuration
  • Change schedule or recipients
  • Modify metrics selection

Note: Changes apply to future generations, past reports unchanged.

Delete Report

Click the trash icon to:

  • Permanently delete report configuration
  • Stops future automatic generations
  • Past generated reports remain accessible for 30 days

Viewing Generated Reports

Each report row shows:

  • Last Run: Timestamp of most recent generation
  • Download: If report was generated in last 7 days, download link available
  • Status:
    • ✅ Success
    • ⏳ Generating
    • ❌ Failed (click for details)

Understanding Your Reports

PDF Report Structure

  1. Cover Page: Report name, date range, generation date
  2. Executive Summary: Key metrics and changes
  3. Platform Overview: Pie charts showing distribution
  4. Growth Trends: Line charts for follower/engagement trends
  5. Top Content: Best performing posts/content
  6. Detailed Metrics: Tables with all selected metrics
  7. Appendix: Methodology and notes

CSV/XLSX Report Structure

Sheet 1: Summary

  • Overview metrics
  • Period comparisons
  • Totals by platform

Sheet 2: Daily Metrics

  • Date-by-date breakdown
  • All selected metrics
  • Filtered by platform/account

Sheet 3: Content Performance

  • Individual post metrics
  • Sorted by engagement
  • Links to original posts

Sheet 4: Metadata

  • Report configuration
  • Generation timestamp

  • Format: XLSX
  • Metrics: All available metrics
  • Delivery: Monday morning for weekly planning

For Clients

  • Monthly summary: Demonstrates value delivered
  • Format: PDF
  • Metrics: Growth, engagement, content performance
  • Include: Custom insights and recommendations (manual)

Scheduling Tips

  • Weekly reports: Monday morning (plan week ahead)
  • Monthly reports: 1st or 2nd of month (give platforms time to finalize data)
  • Avoid: Weekends (reports may be overlooked)

Troubleshooting

Report Generation Failed

Common Causes:

  • No data in selected date range
  • Platform API temporarily unavailable
  • Account disconnected or token expired

Solutions:

  • Check social account connections
  • Verify date range has published content
  • Retry generation in 1 hour

Missing Data in Report

Possible Reasons:

  • Platform doesn't provide that metric
  • Metric not applicable to selected content
  • Insufficient permissions on social account

Action:

  • Review platform capabilities
  • Reconnect account with full permissions

Report Email Not Received

  • Check spam/junk folder
  • Verify email address in recipients list
  • Check email server isn't blocking (IT department)
  • Download directly from Reports Manager instead

Large File Size

PDF reports with many charts can be large (10-50 MB):

  • Consider shorter date ranges
  • Use XLSX for data-heavy reports
  • Limit number of platforms in single report

  1. Start Simple: Create one basic weekly report to get familiar
  2. Iterate: Add metrics and refinements over time
  3. Automate: Set schedules to save time
  4. Share Widely: Loop in stakeholders early
